Be Ahead of the Game

Overview

At Be Ahead of the Game, we are committed to providing a safe, positive, and professional experience for all participants and families.

The policies outlined below apply to programs operated directly by Be Ahead of the Game, including clinics, camps, and birthday parties.

Programs operated in partnership with towns, recreation departments, schools, or other organizations follow the policies of the hosting organization.

Registration & Payment

Registration is required for all programs operated directly by Be Ahead of the Game.

Full payment is due at the time of registration unless otherwise specified. A participant’s spot is not guaranteed until payment has been received and confirmation has been issued.

Programs with limited capacity are filled on a first-come, first-served basis.

Be Ahead of the Game reserves the right to cancel or modify a program due to low enrollment, facility issues, or unforeseen circumstances. In such cases, a full refund or credit will be issued.

Cancellation & Refund Policy

If a participant needs to cancel their registration, the following refund structure applies:

  • Cancellations made 14 or more days before the program start date are eligible for a full refund minus any processing fees.

  • Cancellations made 7–13 days before the program start date are eligible for a 50% refund.

  • Cancellations made less than 7 days before the program start date are not eligible for a refund.

No refunds will be issued once a program has started.

Refunds will not be provided for missed sessions due to illness, scheduling conflicts, or personal reasons.

Be Ahead of the Game reserves the right to review special circumstances on a case-by-case basis.

Weather Policy

Outdoor programs may be modified, postponed, or canceled due to weather conditions or facility-related issues.

If a session is canceled due to weather, a makeup session may be offered when possible. If a makeup session cannot be scheduled, a credit may be issued at the discretion of Be Ahead of the Game.

Participant safety is always our top priority.

Medical & Emergency Policy

Parents or guardians are responsible for disclosing any relevant medical conditions, allergies, or special needs at the time of registration.

In the event of an injury or medical emergency, Be Ahead of the Game staff may administer basic first aid and will attempt to contact a parent or guardian immediately.

If a parent or guardian cannot be reached, participants’ guardians authorize Be Ahead of the Game staff to seek emergency medical treatment when deemed necessary.

Be Ahead of the Game is not responsible for injuries resulting from undisclosed medical conditions.

Assumption of Risk & Liability Waiver

Participation in sports and physical activities involves inherent risks, including but not limited to falls, collisions, contact with other participants, and other potential injuries.

By registering for and participating in any program operated directly by Be Ahead of the Game, participants and their parents or guardians acknowledge and voluntarily assume all risks associated with participation.

Be Ahead of the Game, its coaches, staff, and affiliates shall not be held liable for injuries, damages, or losses sustained during participation, except in cases of gross negligence or willful misconduct.

Participants are expected to follow all safety instructions provided by staff.

Photo & Media Release

Be Ahead of the Game may take photographs and videos during programs for promotional, marketing, and educational purposes, including use on our website, social media platforms, and printed materials.

By registering for a program, parents or guardians grant permission for their child’s image to be used unless written notice is provided prior to the start of the program.

Families who prefer that their child not be photographed must notify us in writing before participation.

Behavioral Expectations

Be Ahead of the Game is committed to maintaining a positive, respectful, and safe environment for all participants.

Participants are expected to:

  • Follow coach instructions

  • Demonstrate good sportsmanship

  • Treat peers, staff, and facilities with respect

Be Ahead of the Game reserves the right to remove a participant from a program if behavior is disruptive, unsafe, or inappropriate.

No refund will be issued in cases of removal due to behavioral issues.

Partner Programs Disclaimer

Certain programs are operated in partnership with towns, recreation departments, schools, or other organizations.

For those programs, registration, refund, and cancellation policies are governed by the hosting organization. Families should refer to the hosting organization’s policies for specific terms and conditions.
